How do I apply and approve subscription plans?

Learn how to apply subscription plans to charge points or teams, and approve pending subscriptions in Monta Hub.

A subscription is an active agreement between a customer and a business where the customer pays on a recurring basis for services defined by a plan. This article explains how to apply a subscription plan to charge points or teams, and how to approve pending subscriptions.

Apply a subscription

Apply a charge point subscription plan

If you set up a charge point plan, you need to apply it to each charge point individually.

  1. Open the Charge points view in Monta Hub and find the specific charge point, then click on quick actions (). You can also access this from the charge point page, in the Subscriptions tab.
  2. Click on Apply subscription.
  3. Select the subscription(s) and click Continue.
  4. Confirm the application by selecting Apply.
    • If the plan is set to automatically approve new subscriptions, it will show as Active.
    • If manual approval is required, continue to the approve section below.

Apply a team subscription plan

A team plan applies the subscription to all charge points within a team at once.

  1. Find the Team in Monta Hub and click on the quick actions (). You can also access this from the Team page, in the Settings tab.
  2. Click on Apply Subscription (or Add Subscription in Settings).
  3. Select the plan(s) from the drop-down menu and click on Apply Subscription.
    • If the plan is set to automatically approve new subscriptions, it will show as Active.
    • If manual approval is required, continue to the approve section below.

Subscription payment methods

Subscription fees are charged based on the billing method set on the team. The billing method determines whether a payment card is required. For details, see the Subscription payment methods section in the Create a Subscription Plan article.

Approve a subscription

If a plan requires manual approval, follow these steps after applying the subscription.

Approve a charge point subscription

  1. Find the charge point in Monta Hub and hover over the charge point subscription link.
  2. Click on the summary of the Pending subscription to open it.
  3. Click on Approve.
    • You can select a custom First Purchase Date — when you want the client to be charged for the first time.
    • You can also upload the contract with the client.
  4. Click on Approve subscription.
  5. The subscription is now active. The client will be charged from the Team Wallet every month on the purchase date.

Approve a team subscription

  1. Find the Team in Monta Hub and hover over the team subscription link.
  2. Click on the summary of the Pending subscription to open it.
  3. Click on Approve.
    • You can select a custom First Purchase Date — when you want the client to be charged for the first time.
    • You can also upload the contract with the client.
  4. Click on Approve subscription.
  5. The subscription is now active. The monthly plan price will be charged from the Team Wallet every month on the purchase date. For team plans priced per charge point, the client is charged: number of charge points × monthly plan price.

First Purchase Date

When approving a subscription, you can choose the First Purchase Date to ensure customers are only charged for the portion of the month they actually use. This date could reflect the start date in your sales contract, the installation date of the charge point, or any other relevant milestone.

  • Once a subscription is approved, its status becomes Active, even if the First Purchase Date is in the future.
  • You can view both the Approval Date and the Next Purchase Date in the subscription details.

The First Purchase Date marks the beginning of billing and is when pro-rata charges are calculated. After that, regular billing recurs monthly. For both advance and arrears payment methods, this date determines the actual payment date.

View a subscription

  1. Find the Team or charge point in Monta Hub and hover over the subscription link.
  2. Click on the subscription to open it.
  3. On the Overview tab you can see: team owner information, monthly subscription price, total purchase amount, and purchases.
  4. On the Details tab you can see: detailed customer team information, a link to the team, detailed subscription history, and a link to the subscription plan.

Edit an individual subscription

You can make custom changes to a single subscription within a plan.

  1. Open the subscription in Monta Hub and click on Quick actions.
  2. Select Edit Subscription and adjust any of the following:
    • Next Purchase date — when the next payment is due
    • Discounts — the discount amount for this individual customer
    • Additional fees — custom fees at the individual subscription level
  3. Click Save changes.

Refund a subscription purchase

  1. Open the subscription and go to the Purchases tab.
  2. Find the purchase you want to refund and click View.
  3. Click on Refund transaction.
    • The funds will be transferred from your Operator Wallet back to the client's Wallet.
    • The refund will appear in your Operator transactions.

Cancel an individual subscription

  1. Open the subscription in Monta Hub and click on Quick actions.
  2. Select Cancel a subscription.
  3. Select when the subscription should be canceled:
    • End after current billing period — the customer continues receiving services until the stated date.
    • Immediately — the subscription ends when you confirm the cancellation.
  4. Click on Confirm cancellation.
