Get started as a Fleet on the go

Learn how to set up your fleet of EV vehicles that charge on the go, so your drivers are ready to start charging!

This is a start up guide for companies that are charging their fleet of company vehicles on the road, on Public charge points. If you have a fleet, which is charging at your company depot, we have this guide, dedicated to getting started as a Fleet depot.

Whether you have purchased Monta directly, or you are being set up by a service provider, this guide is a useful read for you. You will learn how to give access to your drivers to charge on the road, and collect the receipts in one place – your Team Wallet.

1. Your fleet in Monta

In the Monta universe, everything is tied by the central entity of Team. Your fleet is represented as a Team in Monta. In the Team, you can:

  • Add and connect your vehicles
  • Invite drivers to access your Team Wallet for charging
  • Set up a payment method to provide all drivers with access to pay for charging
  • Export transactions to track the charging activity

2. Find and fill out your Team information

Begin by finding the Team and filling out your company information in the Team settings. These company details will be used for your charging receipts.

  • If you are using a Trial account, then your account will already have a Team created. 
  • If you purchased Monta via a service provider, they should already have created a Team for you.
  • If you need to create a Team, here is how you can do this.

Please note that in order to have full access to the Fleet section, your Team needs to be on a Business or Enterprise Monta plan.

3. Add and connect your company vehicles to Monta

Now it is time to add your vehicles to your Monta account, so you can track their status and report on their usage. You first need to add your vehicles to the Fleet section of your Team. By including the license plate of the vehicle, you can track it’s consumption.

We recommend to also integrate your vehicles, if possible. This will give you a live status about the vehicle, such as SOC (state of charge), location, etc. Not all vehicles can be integrated – this depends on the state of the car with our car integration partner – Enode. On this page you can see which vehicle brands and models can integrate with Monta.

4. Invite drivers to access the Team Wallet

Now it’s time to invite the drivers to become Team Members.

You can invite them one at a time by entering their phone number or email. Even if they do not have a Monta account, they will receive an invitation to download Monta Charge, create an account and then they will be added to the Team. If you need to invite many employees at once, you can use the bulk invite option.

When your drivers are charging on the go, they will need to perform paid charges. The easiest way to manage and collect these payments in one place is to give your drivers access to pay for charging with your Team Wallet. You can do that from the Team Member settings.

In those settings you enable to driver to use the Team Wallet to pay for charging. You can limit which charge points they can pay on, by operator, by country, or just enable them to pay for all charging (including roaming). When the employee pays for the charge, you will be able to find the receipt in your Team Wallet.

5. Set up a payment method

Monta uses it’s own Wallet system. Your fleet has a virtual Team Wallet, where the receipts for paid charges are collected. As you most likely will not set up paid charging in your own Team, you need to make sure that your drivers have money, available in the Team Wallet to perform charges on the go. To cover any charging costs in Monta, you can directly deposit money in your Team Wallet.

In your Team Wallet, you will primarily see transactions, such as payments for charges, expenses for Monta services (i.e. transaction fees), and services provided by a solution provider (subscription purchases).

If your company is VAT registered, you can request to handle your billing by Monta invoicing. Every invoice comes with a csv file, which contains all your Wallet transactions within the month.

You need to make sure that your Team Wallet is always operational. If you do not refill your Wallet when it goes to negative, or you have an overdue unpaid invoice, your Team Wallet will be frozen. This will block your drivers from using the Team Wallet to pay for charging.

6. How do your drivers charge

Here are the different options for your drivers to initiate a charge.

Your employees can use Monta Charge to find publicly available charge points on the road and then use your Team Wallet to pay for charging. They can also, use their personal Wallet to pay, but then you will not get the receipt directly.

You can provide your drivers with an app free charging experience, by connecting charge keys (RFIDs) to your Team Wallet. We recommend assigning the charge key to a specific Team Member or a vehicle. That way you can track the charging activity from the transaction exports, where you will be able to see a driver and/or a vehicle for each charge.

Please note that if the charge key is assigned to a Team Member and they try to charge, while the Team Wallet is frozen, they will pay for the charge with their Personal Monta Wallet.

7. Manage exports and reporting

You can export your charges, in order to keep track of the charging activity of your vehicles and drivers.

There you can see how much each driver has charged, when a charge key was used, the license plate of the vehicle and other information.

You can check out the Vehicle tile dashboard, where you can see the live status of each vehicle. This is a convenient way to have a quick glance over your fleet, if you have many vehicles.

8. Test your setup

Great job! You’re ready to get started now!

9. Advanced section

Invite an Administrator to the Team

You should invite a person to manage the EV fleet, drivers’ access, transaction exports and depositing money to the Team. You can invite them with a phone number or an email. If they do not have a Monta account yet, they will be invited to create one. Make sure to assign them an Admin role in the Team.

Member Groups 

If you frequently add new drivers to the Team, we recommend creating a Member Group. This is a great way to create a set of Team user permissions once, and then apply them on Team Members in bulk. For example, you can set a Member Group for drivers, who have the permission to use the Team Wallet for to pay for charging, but don’t have any rights to manage the money or Members of the Team. Once you have created a Member Group you can apply it on existing users, or invite new users with those settings already.

Sponsored charging at home

If your drivers need to charge the company vehicles at their personal charge points at home, you can start sponsoring their cost for charging. To do this, you need to set up Sponsored charging at home. All you need to do is enable the employee to be Sponsored, let them apply and share their electricity cost and then you approve their request. When they perform a charge, money can be transferred from your Team Wallet to their Personal Wallet immediately, or you can set up an end of month payout.
