Setting up a baseline for a tax refund subscription

All tax refund subscriptions have to be approved by the service provider. It is your responsibility to approve pending subscription and set up the baseline. The end user is eligible for the tax refund only after the subscription becomes active.

Pending subscriptions are the subscriptions that require approval from your side before they are active and running for the end users. This is the recommended way to proceed when it comes to tax refunds, because you must approve the first reading for the charge point, as well as set the baseline for moving forward.

1. What is a baseline?

Baseline - the number of kWh the meter of the charge point has registered before starting a tax refund subscription plan.

Why it is important to set up the baseline?

The baseline of a subscription is used as a starting point, after which the user gets refunded for every kWh charged on their charge point. The user will receive refunds only for charging performed after the activation of their subscription.

For you as a service provider, it is essential to set the correct baseline because this will indicate from when the tax refunds start being issued. For this reason, it is important to set the baseline of a subscription before approving it.

2. Types of Baselines

There are 2 types of baselines.

Automated reading baseline is made by calling the meter reading on Monta Portal.

Manual reading baseline is based on the meter reading provided by the user. You need to use the number of kWh on the meter stated by the new subscriber.

3. How to set up the baseline?

Go to the plan summary and click on "Pending Subscriptions". There, you will see all pending subscriptions waiting for approval. .

In order to approve the pending tax refund subscription it is mandatory to set up a baseline. You can set up the baseline in 2 ways, which depends on the type of the charge point readings.Does charge point support automated or manual readings?

4. Automated Readings

4.a. Open the pending subscription

Go ahead and click on "View" on the right side of the specific pending subscription. From there, you will be directed to subscription management panel.

4.b. Check for automated integration

Here you will see information related to that specific subscription. First step is to check if the charge point has an automated integration.

If it is says Yes, this means that charge point sends the information about the kWh on the meter by requesting automated reading.

4.c. Request an automated meter reading

Go ahead and click on "Request new reading automated".

The first reading will register in "Readings". Go to "Readings" and copy that number. This automated reading will be used to set up the baseline.

4.d. Go to "Tax refunds"

Go back and navigate to "Tax Refunds". Click on "Set a baseline".

Add the number of kWh received from the first automated reading and click on "Set".

IMPORTANT!

When the user is subscribing to your tax refund services, they may have submitted the picture with it. Please ignore the picture and call the meter, instead. As the charge point has automated readings, our system will know the exact number of kWh that needs to be used, in order to set up the baseline.

4.e. Approve the subscription

The last step is to approve the subscription. Go back to the subscription management panel and click on "Approve now".

Add the first subscription charge date and upload the contract between you and the user. It is important to point out that you can approve the subscription only after receiving the signed contract from the end user. Once uploaded, go ahead and click again on "Approve".

5. Manual Readings

5.a. Open the pending subscription

Go ahead and click on "View" on the right side of pending subscription. From there you will be directed to subscription management panel.

5.b. Check for automated integration

In the charge point information, check if the charge has an automated integration.

5.c. Request for a reading by user

If the automated integration says "No", this means that the charge point cannot have automated tax refunds and the owner of the charge point has to manually submit meter readings. If the user has not submitted the picture of the meter when subscribing, go ahead and click on "Request new reading by user".

The user will receive in app notification to submit the reading.

5.d. Approve first reading

Once you receive the reading from the end user you will be able to set up the baseline. Click on "Approve first reading".

Carefully check if the numbers on the picture are visible and readable. Also, double check if the numbers entered by the user are the same as on the picture of the meter.

As it is a first reading, tax refund will not be paid out automatically. Go ahead and click on "Approve".

5.e. Set up a baseline

The next step is to set the baseline for the subscription. Go to "Tax refunds".

Baseline is the number of kWh charge point had when the user subscribed to your plan. Click on "Set a baseline".

Add the kWh that was submitted by the end user and click on set.

5.f. Approve the subscription

The last step is to approve the subscription. Go back to the subscription management panel and click on "Approve now".

Add the first subscription charge date and upload the contract between you and the user. It is important to point out that you can approve the subscription only after receiving the signed contract from the end user. Once uploaded, go ahead and click again on "Approve".

Now the user end is all set up and ready to receive tax refunds.

!!! IMPORTANT

Every time you get a new subscriber, you will receive an email. You will have to approve the pending subscription. Your party is responsible for approving subscriptions, issuing tax refunds and setting up the baselines.
